Student Paper Competition Guidelines

Students interested in participating in the Student Paper Competition should register for the Conference via the Online Registration and Paper Submission System from the Conference Website.  The student author should be listed as the first author and the student's advisor as the second author.  The first author will be considered the “corresponding author” and will be required to coordinate communication with the Conference.  Other individuals may be listed as co-authors, if appropriate. The student must be a member of the EMB society at the time of paper submission and prior to 3 April 2006.  Paper Deposits and Nominations forms completed by your faculty advisor must be submitted and up-to-date for the student paper to be reviewed during the Student Competition Paper Process.

A student may submit up to two entries (on substantially different topics).  Each student should also indicate whether their paper is to be withdrawn from the conference if they are not chosen as a finalist.  Only one competition can be designated for a single paper (in other words, you can not submit the same paper to the Paper Competition and the Design Competition).

Any (single) Paper submitted for both the Paper Competition & the Design Competition will be disqualified from the Competition.

Rules for manuscript preparation for the SCIENTIFIC PAPER must be followed as outlined on the conference web site and in the Author’s Kit.  Please submit your paper as required for submitting a four (4) page paper.

The Review Process
The first part of the process is for your paper to be reviewed by the Conference Technical Program Committee.  If you paper is accepted by the Conference, your paper will automatically advance to the Paper Review for the Paper Competition provided your faculty advisor submitted the appropriate Nomination form for your paper by 2 May 2006.

Your Paper will then be reviewed again by the Editors/Associate Editors of the Technical Program based on technical merit, structure (abstract, introduction, methods, analysis, results, conclusion and references), clarity of composition and originality and be given a numeric score.  The scores assigned will be averaged to determine the final score.  At this point your paper will be accepted or declined by the Conference as the Conference Review occurs first.

Then a second review by the Student Paper Competition Committee will occur using the reviewer’s scores to select the top entries from each geographical area and the open finalists.   One (1) finalist will be selected from each of the 5 EMBS geographical areas: North America (US & Canada), Latin America (Mexico& South America), Europe (as defined by WHO), Middle East & Africa, and Asia-Pacific.  Geographical units represented by fewer than five (5) authors may be combined with another group for the geographical Competition. Ten (10) additional Finalists with the highest average score will be selected in an Open Competition from all the remaining entries in the Student Paper Competition.  There will be a total of up to 15 finalists in the competition.

Note: Any student wishing to have his or her entry withdrawn if it is not selected as a Finalist should clearly indicate this when registering their paper submission.

The Finalists
Each Finalist will receive complimentary Conference registration, Award Reception ticket, the Conference Proceeding and a travel reimbursement stipend in US funds for the cost of travel expenses, hotel accommodations and meals in the amount up to the following limits:

Geographical Finalists in the STUDENT PAPER COMPETITION receive travel reimbursement up to $1000 USD

Open Finalists in the STUDENT PAPER COMPETITION, regardless of region, receive travel reimbursement up to $500 USD

According to IEEE policy, students must submit a completed W8 or W9 IRS Form and IEEE Expense Reports with original receipts after the Conference in order to be reimbursed.

Each Finalist must attend the Conference and present his or her paper in the regular conference program, either as an oral or poster presentation - no substitutes will be permitted.  A special session for all student finalists to present their papers in slide format will be scheduled.  The student finalist must present as part of the regular conference program and as part of the special Student Paper Competition Session.  A panel of judges will review each presentation.  First, second, and third place winners will be selected based on the professionalism of the presentation, verbal communication skills, and the technical merit of the topic.

The three winners of the STUDENT PAPER COMPETITION will receive an engraved plaque and an honorarium of $300.US for the first place winner, $200.US for the second place winner, and $100.US for the third place winner.  All Finalists will receive Certificates of Merit and will be recognized at the EMBS Awards Ceremony.

Student Design Competition Guidelines

Undergraduate or Graduate Design entries submitted either by individuals or as a team of up to 4 students, should be registered for the Conference via the Online Registration and Paper Submission System from the Conference Website.  The individual student or the design team should list one student as the first author and the student's advisor as the second author.  The first author will be considered the “corresponding author” and will be required to coordinate communication with the Conference.  Other individuals may be listed as co-authors, if appropriate.  The students must be a member of the EMB society at the time of paper submission and prior to 3 April 2006.

Paper Deposits and Nomination forms completed by your faculty advisor must be submitted and up-to-date for the student paper to be reviewed during the Student Design Competition Process. The deadline for submitting the nomination form by the faculty advisor is 2 May 2006. Each student/team should also indicate whether their paper is to be withdrawn from the conference if they are not chosen as a finalist.  Only one competition can be designated for a single paper.

The paper must describe a project containing a significant design element.  The construction of the project and the accompanying design considerations should be detailed in the paper.

Any (single) Paper submitted for both the Paper Competition & the Design Competition will be disqualified for the Competition.

Rules for manuscript preparation for the SCIENTIFIC PAPER, must be followed as outlined on the conference web site and in the Author’s Kit.  Design Competition entries may submit a paper up to ten (10) pages in length including illustrations, diagrams and references.  Design entries should include the following:

  2. Abstract or summary page

  3. Introduction describing background, purpose and scope

  4. Discussion that provides a technical description with analysis support

  5. Conclusion

  6. Specifications

  7. Illustrations

The Review Process
The first part of the process is for your paper to be reviewed by the Conference Technical Program Committee.  If you paper is accepted by the Conference, your paper will automatically advance to the Paper Review for the Design Competition provided you selected the appropriate boxes when registering your paper.

The Student Design Competition Committee will use the reviewer’s scores to select the top, three entries that will be selected as the Design finalists for the Design competition.

EMBS reserves the right to not designate a finalist or make an ultimate design award if, in the opinion of the Student Activities Chair or the EMBS V.P. Member & Student Activities, the project does not contain a significant enough design element.

Note:  Any student wishing to have his or her entry withdrawn if it is not selected as a Finalist should clearly indicate this when registering their paper submission.
